Photographer Guidelines
For the UQU Photography team. Please don’t share this link outside of the team.
On the day
- Make sure you have enough batteries and storage, and the lens focal lengths you’ll need for the duration and type of shoot.
- Dress appropriately for the event and location, unless the brief specifies otherwise.
- Arrive as early as you need to get set up, check in with the on-site contact, and start shooting.
- Capture a mix of wide shots, candids, and detail or branding shots.
- Be respectful and unobtrusive, and get consent for close-up portraits where appropriate.
Delivery
- Cull before you deliver: drop blurry shots, duplicates, and eyes-closed frames.
- High-noise images will not be accepted. Use denoise or AI denoise to clean up noisy shots.
- Upload your edited photos to the shared Drive.
- Put them in a folder named [EVENT NAME] - [EVENT DATE IN DD.MM.YYYY]. For example: UQ Chess Club Social - 22.06.2026.
- Do not post photos to personal accounts.

Admin
On-campus and Brisbane-based shoots do not include a travel fee; the $50 applies to Gatton events only.
- Invoice weekly, not per event. If you shoot multiple events in a week, combine them into a single invoice.
- Send it to photography@uqu.com.au, and include your name, the events and dates covered, the hours worked, and your rate.
- Payment may take up to 14 days, as it’s processed by UQ Union finance. If you haven’t received it after that, please let us know by email.
- If you can no longer make a shoot you signed up for, email us at photography@uqu.com.au as soon as possible so we can arrange cover.
Two addresses, two very different purposes:
Your agreement
A short summary of your UQU contractor agreement (governed by Queensland law). Your signed agreement is the binding version.
- You’re engaged as an independent contractor, not a UQU employee, so you’re not entitled to leave, employee benefits, or superannuation (unless you meet the Superannuation Guarantee criteria).
- Provide your services to a professional, high-quality standard using industry-standard equipment.
- Comply with UQU policies and the Code of Conduct.
- Disclose any actual or perceived conflict of interest, and get UQU’s written approval before taking on conflicting work.
- You may delegate a shoot to another UQU photographer, but you stay responsible for it.
- Insure your own equipment.
- You’re responsible for any damage you cause or event disruption.
- Comply with Work Health & Safety requirements.
- Report any injury to UQU within 24 hours.
- You indemnify UQU against claims arising from your actions or negligence.
- Photos belong to UQ Union and are for UQU’s exclusive use. Copyright and moral rights in the images belong to UQU.
- Don’t distribute them to any group or post them on any other channel without UQU’s permission, and don’t resell or use them commercially.
- You may use shots on your own website or portfolio only (not social media), but only after they have been uploaded to UQ Union, and only up to 5 images per event.
- You’ve consented to UQU sharing your professional contact details with other contractors for service continuity. You can withdraw this consent in writing.
- Your fee includes editing and album prep; no separate payment is made for editing time.
- The price excludes GST, which is added only if you’re GST-registered, via a valid tax invoice.
- Send invoices to the UQU Photography email, addressed to UQ Union.
- You can resign anytime by writing to the Photography Coordinator, but events you’ve already been booked for must still be shot unless UQU agrees otherwise.
- UQU may end your engagement after one or more written warnings, for example: sharing photos outside UQU, breaching the Code of Conduct or Photography Guidelines, or missing turnaround times.
- UQU may end it immediately for a serious breach.
